Privacy Policy

The RIMS New Zealand and Pacific Islands Chapter Incorporated (“we”, “our”, “us”) respects your privacy and is committed to complying with the Privacy Act 2020 and its Information Privacy Principles (IPPs) when handling personal information.

This policy explains how we collect, use, store, and protect your information, and your rights in relation to it.

1. Information We Collect

We collect personal information directly from you when you:

  • Apply for or renew membership
  • Register for or attend our events, workshops, or networking activities
  • Communicate with us by email, phone, or other means
  • Engage with us through our website or social media platforms

This information may include:

  • Your name and contact details (email, phone number, address)
  • Your professional role and organisation
  • Your membership preferences and areas of interest

2. Purpose of Collection

Under the Privacy Act 2020, we collect personal information only where it is necessary for our functions and activities, including to:

  • Maintain and manage our membership database
  • Organise, promote, and deliver events and networking opportunities
  • Provide member communications, updates, and industry news
  • Comply with our legal and governance obligations

3. Lawful Use and Disclosure

We will:

  • Use your personal information only for the purposes for which it was collected, or for directly related purposes that you would reasonably expect
  • Not sell, rent, or trade your personal information to third parties
  • Disclose personal information only when:
    • Required or authorised by law
    • Necessary to enable third-party service providers (e.g., event organisers, IT providers) to deliver services you have requested — with contractual safeguards in place to protect your privacy

4. Storage and Security

We take reasonable steps to protect your personal information from loss, unauthorised access, misuse, modification, or disclosure, including:

  • Secure digital storage with password-protected systems
  • Access limited to authorised personnel only
  • Regular review and deletion of information no longer required

5. Overseas Disclosure

We may use cloud-based systems or service providers located outside New Zealand. Where this occurs, we will take reasonable steps to ensure any overseas recipient complies with the New Zealand Privacy Act 2020 or comparable safeguards.

6. Access and Correction

Under the Privacy Act 2020, you have the right to:

  • Request access to any personal information we hold about you
  • Request correction of that information if you believe it is inaccurate or incomplete

To do so, please contact us at administrator@rims.nz. We will respond to your request as soon as practicable, and no later than 20 working days after receipt.

7. Retention of Information

We will retain personal information only for as long as it is required to fulfil the purposes for which it was collected, or as otherwise required by law.

8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to our practices or the law. The latest version will always be available on our website.
